Cyber Essentials Certified – Document Scanning
Here at Cleardata, our scanning facility has the government-backed cyber security certification “Cyber Essentials Plus”. This means that our document scanning services are protected against cybercrime and cyber-attacks. You can rest assured that your documents are being handled with the utmost security.
We take security extremely seriously at Cleardata. This is why we have invested in the Cyber Essentials certification: we want to ensure that our company and its scanning facility are comprehensively protected against any cyber-attacks. We also hold other certifications in Quality Management (ISO9001), Information Security Management (ISO27001) and the Secure Destruction of Confidential material (BS EN 15713).
Cyber Essentials is a scheme that is backed by the government. It aims to ensure that businesses are protected against most common cyber-attacks. In order to achieve the certification, companies need to fulfil certain criteria laid out by the scheme, which ensure that it is protected against these common, harmful attacks. The Cyber Essentials scheme has the support of various different industry societies, which include the CBI, the Federation of Small Business, and a range of insurance organisations who offer incentives for companies. This shows the calibre of the Cyber Essentials badge.
There are five technical controls that need to be in place in order for a company to obtain the certification. We have fulfilled all of these, as well as the other requirement of being able to demonstrate that we have a secure server. The controls are:
- Boundary firewalls. These prevent unauthorised access to keep cybercriminals at bay.
- Secure configuration. Making sure that all company systems are set up securely, with optimum security in mind.
- Controls on user access. Only individuals who require access to certain documents, files or systems are granted access.
- Protection against malware. Ensuring that all company systems are secured against malware, for example with anti-virus software.
- Patch management. Vigilantly making sure that software is always up-to-date so that any security gaps are closed immediately.

How our scanning services work
We scan extremely high volumes of all document types, using premium Kodak production scanners. This includes all sizes of documents too, ranging from small format to A4 to large formats like A0 and A1. So whether it’s invoices or large scale plans you need scanned, we can digitise them for you no problem.
We can scan into a variety of different formats, depending on what works best for your business, including JPEG, RAW and PDF.
Once your documents have been scanned, depending on your preferences we can either send the documents back to you, archive them in our ultra-secure storage centre, or securely shred them.
