Cleardata provides scanning services to digitise Lab Notebooks or Laboratory Notes. Our professional document scanning bureau can capture your laboratory notebooks and digitise to any required format. Cleardata’s bureau is equipped with a fleet of high production scanners as well as flat bed scanners and large format scanning technology.
Our team can collect your records from any UK location, using our own fleet of securely tracked vehicles. Cleardata’s laboratory notebook scanning bureau is purpose built and accredited to the highest standards for Information Security and Quality Management Systems. We have already been audited by many medical and pharmaceutical companies and have passed each inspection with flying colours.
All staff are checked by Disclosure Scotland and also enhanced security cleared to NPPV (non police personel vetting) level 2. We have strict security procedures in place for staff to adhere.
Our scanning process
- Call our team and we will come and see you to assess your records and the best scanning option for your business
- We can provide archive boxes to package your laboratory notebooks
- Our collection team can help boxing up your books if required
- Collections can be made to any UK location, our fleet of vehicles are security tracked
- All archive boxes are bar-coded on collection to provide a secure audit trail for your documentation throughout the process
- Information is securely stored in our premises, protected by enhanced fire detection and security systems
- Our preparation team will prepare your notebooks for scanning
- Records will be scanned using the latest Kodak scanning technology
- All scanned images are quality checked by two separate operators
- We will index (digitally file) your information as per your specification to ensure you can find your information by your required metadata
- Digital files can be output to suit your existing laboratory systems, our most popular option is PDF or TIFF, but our IT team will ensure your files are output in a format compatible with your systems.
- Once scanned records can either be returned, securely stored in our facility or confidentially shredded at our site.
