Retail Document Scanning
- We can provide heavy duty archive boxes for you to store your paperwork securely
- Cleardata can collect your documents using our own securely tracked vehicles
- All boxes are checked in using bar code technology
- Our prep team will remove all staples and paperclips and prepare your documents for scanning
- Documents are scanned using high production Kodak scanners, capturing over 410 images per minute
- All scanned images are quality checked by two separate operators
- Records can be digitally filed (indexed) in any format. File by reference, customer name, date, shop location etc.
- Digital images can be stored and returned by secure FTP upload, via our cloud document management system, by CD, DVD or Memory Stick
Retail Archive Storage
- Archive boxes can be provided if required
- UK Collection and boxing up services
- Fully managed archive storage, with managed destruction dates and secure shredding services on Cleardata’s site
- Indexing services available – our team can index your records for you, so you know exactly what’s stored in your archive boxes
- Archive facility fully secured, including 24 hour CCTV, Biometric Entry Systems, Enhanced Fire and Water Detection
- All staff security checked by Disclosure Scotland
- 2 hour guaranteed digital retrieval using our Scan on Demand Service. Documents stored on our site can be requested, retrieved, scanned and returned to your desktop within our guaranteed retrieval period.
- Cleardata provide data entry services. Our team can manually enter your data returned from customer satisfaction surveys, special offers and promotional cards, store points cards etc.
- Our digital mail room service enables you to route your paperwork to our bureau for opening, sorting and scanning. Once scanned, digital images can be uploaded to our cloud document management solution, providing flexible access to information from anywhere, using a web browser. This low cost solution includes workflow to help you route data to the correct person in your company to process, review or authorise documentation.
- Our consultants can review your existing paper processes and recommend a digital solution to suit your needs.
