We can collect your paper invoices from any UK location. Our fleet is tracked and secure.
You can divert your paper Invoices via PO Box to our secure digital mailroom facility and we’ll open, sort and scan on arrival. We use Opex Falcon technology which can open envelopes, sort and scan seamlessly.
Our digitisation bureau is accredited and secure, with exceptional levels of information and cyber security. Records are checked in throughout each stage to ensure a fully tracked process.
Our prep team ensures Invoices are prepared for scanning, with all staples and paperclips removed. We can add indexing headers during prep to ensure records are digitally filed in line with your expectations.
Invoices are scanned using our IBML, Kodak and Opex scanning technology. The IBML scanners capture around 700 pages per minute and use air suction technology which reduces the likelihood of double feeds or jams.
Cleardata has a dedicated Quality Checking Team who inspect each and every image, providing the highest levels of quality for your scanned invoices. The clarity of images is outstanding.
Cleardata can provide you with your invoices in a variety of digital formats for your convenience, with images returned via secure SFTP, or alternatively via our Cleardox Document Management System.

For high volume invoice scanning, we utilise our IBML Fusion Scanners which capture up to 730 pages per minute, or our Kodak i5850 production scanners. These scanners ensure that images are captured to exceptional quality.

Yes, Cleardata can use intelligent capture software to automatically capture data from your invoices. We can capture data at the header or line item level.
Yes, we can verify capture data against your existing data, for example, a database of purchase order numbers. We can also provide exceptions for your team to manage.
We would upload any invoices with exceptions to our Cleardox document management system for your team to process.
Cleardata can help you set up a PO Box, which enables your invoices to be diverted straight to our facility to be opened, sorted and scanned.
Once we've scanned your invoices, we can either return the paper copies to you for filing, securely store them or shred them.
Our invoice scanning services are compatible with the majority of ERP financial systems, we haven't come across one we can't integrate with to date. We commonly scan and capture data for Microsoft Dynamics, Oracle, SAP, Odoo and Acumatica. We can also scan into AP systems such as Kofax, Sage and QuickBooks.
