What is a Digital Mailroom? Benefits & How It Works

22nd April 2026

What is a Digital Mailroom?

Many businesses and organisations ask us “What is a Digital Mailroom”, so this article explains what it is, how it works and the benefits.

A digital mailroom is defined as a system that can receive, open, scan, classify and distribute incoming mail in a digital form. This can be completed on an outsourced basis, removing the need for physical paper mail to be processed onsite.  Essentially, a digital mailroom is designed for modern hybrid and remote working environments enabling electronic documents to be securely accessed, processed and stored using document management and workflow systems.

UK businesses have changed to more modern ways of working, particularly since the Covid-19 pandemic, and with 28% of UK adults hybrid working in 2025, (Office for National Statistics), access to documents from any location has become essential.

Our digital mailroom process: How does a digital mailroom work?

A digital mailroom will commonly follow these steps in order to be as effective and efficient as possible:

1. Mail receipt

Physical mail will be received at a central location. Alternatively, it can be redirected to a dedicated scanning facility where mail will be digitised and made accessible via various channels.

2. Opening & preparation

Once received, mail is opened, sorted and prepared for the next stage in the process - scanning. Any sensitive or confidential documents are handled in accordance with data protection and security protocols and regulations.

3. Scanning & digitisation

High-speed scanners are used to convert physical paper documents into a digital format. Digital images can be created and sent in the form of PDFs, TIFFs and more.

4. Data capture & indexing

Optical Character Recognition (OCR) and Intelligent Document Processing (IDP) are used to process and extract key data from the document, allowing documents to be routed correctly and with the correct information.

5. Classification & routing

Digital mailroom allows for the automatic categorising of digital documents, including invoices, contracts and applications, to name a few. It will then route them to the appropriate departments and other workflow systems, such as ERP, HR and finance platforms, for instance.

7. Secure access & storage

Once digitisation has been completed, digital files can be securely uploaded to our document management system, or returned securely for import into your own systems. This helps to keep documents as safe and secure as possible, with restricted role based access available.  It also means that inbound mail and documentation can be accessed remotely, from anywhere and at any time, helping you to enhance remote and hybrid models in line with modern working practices.

What are the benefits of a digital mailroom for businesses?

There are multiple advantages to using a digital mailroom, with many industries and sectors benefiting from it. So, what are the benefits of a digital mailroom?

Agile modern working

A digital mailroom allows employees to spend time on more value-added tasks. It also enables them to work remotely as and when required. A digital mailroom ensures full access to documents from anywhere, at any time. Whether you have a hybrid or 100% remote working model, a digital mailroom is effortlessly designed to allow full access to documents from anywhere and at any time.

Faster processing and improved customer service

Digital mailroom eliminates delays caused by manual distribution methods thanks to its automated processes. Workflows will be streamlined, and business and customer requirements can be met promptly, helping to improve customer service levels.

Improved accuracy

Digital mailroom processes can automatically extract key data from scanned documents using OCR and IDP. This means that the right information can be taken from inbound documents, validated against existing data and imported into your business systems. In turn, this reduces human error mistakes that often come with manual data entry.

Enhanced security

Physical mail is vulnerable to loss, theft or damage, whereas digital copies can be securely held behind password protected systems. Therefore, only authorised personnel can gain access. This helps to protect paperwork from loss, theft or damage..

Improved compliance

Digital mailroom and archiving allows organisations to improve compliance for data protection regulations, such as GDPR. With processes tracked, a full audit trail is available. Not only does this help when it comes to data protection, but it also aids with annual audit requirements and reporting.

Reduced costs

A digital mailroom helps to reduce costs for businesses associated with the handling and processing of physical paperwork. Save time for employees, reduce licensing and maintenance costs for mailroom equipment, and utilise office space for more productive tasks.  You’ll also see a reduction in printing, postage and stationery supplies.
